Booking Process
- Online Booking: We encourage you to make school bookings online at aso.com.au/learning, as the online form collects all essential details.
- For additional assistance or special requests, please contact our box office at 08 8233 6233 or aso@aso.com.au.
- Please note that bookings are not confirmed until an invoice has been issued, which will reflect any complimentary tickets and other applicable details. Ticket allocation is finalised only once full payment has been received by the due date indicated on the invoice.
Invoicing and Payment
- Invoice Issuance: Invoices will be sent by the ASO to your nominated email address within 7 business days of placing a booking. Payment is required via invoice (EFT, cheque, or credit card) and must be completed prior to the performance.
- Invoice Terms: All invoices should be settled within 30 days from issuance or 30 days prior to the performance, whichever is sooner. For bookings made within 30 days of the performance, payment must be received within 48 hours of booking or at least 24 hours before the performance, whichever is sooner.
- Transaction Fees: No transaction fees will be applied to school bookings.
Late or Unpaid Invoices
- For any invoices that remain unpaid past the due date, ASO reserves the right to cancel the associated tickets. Seats will not be held for unpaid bookings, and schools may forfeit their reserved seating if payment is not received on time.
Complimentary Tickets for Supervisory Staff
- Schools are entitled to complimentary tickets for supervisor/teachers at ASO excursions according to the following ratios:
- R–2: 1 supervisor/teacher per 6 children
- 3–7: 1 supervisor/teacher per 10 children
- 8–12: 1 supervisor/teacher per 15 children
- For bookings of less than 10 students, complimentary tickets are not available.
Additional tickets for supervisors/teachers can be purchased by emailing aso@aso.com.au
Homeschool Groups
Homeschool groups are welcome at ASO Learning events and will receive one complimentary supervisor/teacher ticket per 10 students. For homeschool bookings of fewer than 10 students, no complimentary tickets for supervisors/teachers are available. Please refer to individual event listings for details of pricing and availability.
- Payment Terms for Small Bookings: For bookings of less than 10 tickets, a card payment must be made over the phone within 3 days of the booking date. Tickets will not be held if payment is not received within these terms
Attendance by Parents/Caregivers
- School-Based Incursions: Parent/caregiver attendance should follow the school’s policy for on-site events.[RP1]
- Excursions to ASO Venues: Only school-authorised parents/caregivers acting in an official supervisory capacity authorised by your school Principal/Director may attend, provided they meet the necessary child safety clearances. Requests for additional attendees from parents, caregivers, grandparents, or other non-supervisory attendees will be declined to ensure a child-safe environment.
Changes, Cancellations, and Refunds
- Adjustments: Schools may request changes to their booking until eight weeks before the performance date.
- Refund Policy: No refunds or reductions in numbers are allowed once payment has been made. If you have received your invoice but have not yet paid, please contact us to adjust ticket numbers. Exceptions may be made under special circumstances at the discretion of the ASO Learning & Community team.
Subject to Change Notice
ASO reserves the right to vary, substitute, or withdraw advertised programs, artists, venues, and/or sales structures, including but not limited to seating arrangements and ticket pricing, at any time and without prior notice. If a change significantly impacts a booking, we will make every effort to notify schools as soon as possible.
ASO Cancellation
If ASO needs to cancel a performance for any reason, we will notify schools as soon as possible and offer a full refund or exchanges for affected bookings.
Student Behaviour and Supervision Expectations:
- Schools are responsible for the supervision and behaviour of their students at all times during ASO events. If the ASO is required to remove a student due to disruptive behaviour, no refunds will be offered.
Photography and Videography
- ASO Usage: ASO may document Learning Program events with photos or video. Permission for student photography will be requested prior to attendance, and ASO will confirm on the day if photography or filming will take place. Individual clearance exceptions can be managed upon request.
- School Photography Guidelines:
- Schools may photograph or video their students only.
- No flash photography during performances.
- Filming of the performance itself is not allowed, though pre- and post-performance interactions may be filmed.
Accessibility
All ASO Learning program venues are wheelchair and special access friendly. Please inform us of any accessibility needs or special assistance required at least 14 days before the performance so that we can best accommodate your students.
Group Attendance at ASO Public Performances
- Schools bringing groups of six or more students to ASO performances qualify for reduced rates (typically aligned with child package prices). Complimentary supervisor/teacher tickets may not be available for all performances; please confirm at the time of inquiry.
